Terms of service

These terms are an agreement between you and ApplyDesk for use of applydesk.net, tenant portals (including name.applydesk.net and custom domains), the staff dashboard, and the Discord bot. By creating an account, connecting a server, or paying for a plan, you agree to them and to the acceptable use policy.
1. The service
ApplyDesk lets a Discord community run an application / vetting portal: branded forms, a staff review queue, optional Discord pings and roles, and billing for paid plans. We may change features, limits, or availability. During beta we may require new communities to wait in a review queue before they go live.
2. Accounts
Staff sign in with Discord. You must have the right to use that Discord account and, for connecting a workspace, Manage Server (or Administrator) in the guild you pick. Keep your Discord account secure. You are responsible for actions taken by staff you invite.
Applicants use the community's public form. If the workspace requires Discord login, they sign in on that portal only — not as ApplyDesk staff.
3. Workspaces
One workspace per Discord server. The owner is responsible for the community's forms, questions, review decisions, Discord channels and roles, custom domain DNS, and how applicant data is used. ApplyDesk hosts the portal; we are not the community and we do not decide who to admit unless we are operating that workspace ourselves.
You must follow Discord's terms and developer policy. If Discord removes the bot or your server, related ApplyDesk features will stop working.
4. Plans and payment
Free includes a platform subdomain, one form, and 50 applications per calendar month. Pro is £5 per month. Enterprise is £15 per month. Prices are in GBP. Paid plans are billed through Stripe. The first Pro checkout includes a 3-day Stripe trial, limited to once per staff account and once per network address. You add a card at checkout; Stripe charges after the trial unless you cancel. Complimentary time we grant does not create a Stripe subscription. Details, cancellations, and refunds are in the refund policy.
5. Your content
You keep whatever rights you have in workspace names, logos, form copy, and applicant answers. You grant ApplyDesk a licence to host, display, and transmit that content solely to run the service (including Discord delivery and webhooks you configure). You must have the right to submit it.
6. Privacy
How we process personal data is in the privacy policy. Enterprise owners can accept a data processing addendum in the dashboard. Workspace staff are typically the controller of applicant answers; we process them to run the portal.
7. Acceptable use and suspension
You must follow the acceptable use policy. We can refuse, queue, pause, or delete a workspace, or disable an account, if we believe these terms or that policy are broken, if Discord or a payment provider requires it, or to protect the platform. We will try to tell the owner when we reasonably can.
8. Availability
We aim to keep ApplyDesk and the bot running, but we do not promise uninterrupted service. Discord, Stripe, DNS, and your own hosting of custom domains are outside our control. Paid plans do not include a service-level credit unless we agree that in writing.
9. Our intellectual property
ApplyDesk, the wordmark, and the product UI are ours. You may not copy the platform, scrape it at scale, or imply that we endorse a community.
10. Disclaimer
The service is provided as is. We do not warrant that it is error-free, that a particular applicant will be admitted, or that a Discord role will always apply. To the fullest extent the law allows, we exclude implied warranties.
11. Liability
Nothing in these terms limits liability for death or personal injury caused by negligence, fraud, or anything else that cannot be limited under English law.
Otherwise, we are not liable for lost profits, lost data, Discord outages, or indirect or consequential loss. Our total liability for a claim about the service is limited to the amount you paid us for the workspace in the 12 months before the claim (or £50 if you are on the free plan).
12. Indemnity
If your workspace's content, review decisions, or Discord use cause a claim against ApplyDesk, you will cover reasonable costs and damages to the extent the law allows, except where the claim is solely about a defect in our software.
13. Governing law
These terms are governed by the laws of England and Wales. Courts of England and Wales have exclusive jurisdiction, except that you may have mandatory consumer rights in your country of residence.
14. Changes
We may update these terms. The date at the top will change. Continued use after an update means you accept the new terms. If a change is material we will try to flag it on the site or in the dashboard.
15. Contact
Data request form or Account settings if you are signed in. Include your Discord ID and workspace subdomain where relevant.
